Privacy Policy

Greengrass Group has a commitment to confidentiality and protecting the privacy of its customers.

  • We ask for the minimum of information that we need to serve you and your clients
  • We conform to the Confidentiality and Privacy Guidelines as set out by the Personal Information Protection and Electronic Documents Act (PIPEDA) and the Canadian Life & Health Insurance (CLHIA) guidelines
  • We work by authorization and consent and information is utilized for the intended purpose
  • We have a strict policy of not releasing personal or identifying information except with your express written consent or where we are required to do so by law
Information Collection

Greengrass Group is the sole owner of the information collected on greengrassgroup.com and greengrassgroup.ca. Greengrass Group collects information from our users at several different points on our Web site.

We request information from the user on our order form. A user must provide contact information (such as name, and email address). If we have trouble processing an order, the information is used to contact the user.

The user will, depending on the service selected, provide personal information for the Agent or Applicant that said service is to performed on. This information is only to be provided with said Agent's or Applicant's authorization and consent.

Information Use

The information provided to us on this site is used to conduct the following services: Agent Screenings, Financial Inspections, Paramedical Services, Telephone Interviews and Debt Reporting.

Agent/Company Screening: Information collected for this service is used to perform reference and industry checks on the requested Agent. (May be accompanied by a credit bureau report, see 'Supplementation of Information'). A completed report is then returned to the orderer.

Financial Inspections: Information collected for this service is used to perform a financial inspection on the requested Applicant. (May be accompanied by a credit bureau report and/or Motor Vehicle Report, see 'Supplementation of Information'). A completed report is then returned to indicated underwriter.

Paramedical Services: Information collected for this service is used to perform various paramedical services. (Please see SERVICE PROVIDERS)

Telephone Interviews: Information collected for this service is used to conduct a telephone interview on the requested Applicant.

Debt Reporting: Information collected for this service is maintained by Greengrass Group when reported. The next time that agent is screened this information will be rechecked before reporting the debt on the Agent Screening Report. If the reporting company wishes, this information may be passed on to the credit bureau.

Cookies

A cookie is a piece of data stored on the user's computer tied to information about the user. Usage of a cookie is in no way linked to any personally identifiable information while on our site. We use session ID cookies. For the session ID cookie, once users close the browser, the cookie simply terminates.

Log Files

Like most standard Web site servers we use log files. This includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks to analyze trends, administer the site, track user's movement in the aggregate, and gather broad demographic information for aggregate use. IP addresses, etc. are not linked to personally identifiable information.

Legal Disclaimer

Though we make every effort to preserve user privacy, we may need to disclose personal information when required by law wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process served on our Web site.

Service Providers

We partner with Stat-Medic Canada to provide paramedical services. When the user signs up for these particular services, we share all information on the paramedical request form that is necessary for the Stat-Medic Canada to provide these services. Stat-Medic Canada is not allowed to use personally identifiable information except for the purpose of providing these services.

This Web site contains links to other sites. Please be aware that we, Greengrass Group, are not responsible for the privacy practices of such other sites. We encourage our users to be aware when they leave our site and to read the privacy statements of each and every Web site that collects personally identifiable information. This privacy statement applies solely to information collected by this Web site.

Surveys & Contests

From time-to-time our site requests information from users via surveys or contests. Participation in these surveys or contests is completely voluntary and the user therefore has a choice whether or not to disclose this information. The requested information typically includes contact information (such as name and shipping address), and demographic information (such as zip code). Contact information will be used to notify the winners and award prizes. Survey information will be used for purposes of monitoring or improving the use and satisfaction of this site. Users' personally identifiable information is not shared with third parties unless we give prior notice and choice. Though we may use an intermediary to conduct these surveys or contests, they may not use users' personally identifiable information for any secondary purposes.

Security

This Web site takes every precaution to protect our users' information. When users submit sensitive information via the Web site, their information is protected both online and off-line.

When our order form asks users to enter information, that information is encrypted and is protected with the best encryption software in the industry - SSL. While on a secure page, such as our order form, the lock icon on the bottom of Web browsers such as Netscape Navigator and Microsoft Internet Explorer becomes locked, as opposed to un-locked, or open, when users are just 'surfing'.

While we use SSL encryption to protect sensitive information online, we also do everything in our power to protect user-information off-line. All of our users' information, not just the sensitive information mentioned above, is restricted in our offices. Only employees who need the information to perform a specific job (for example, our billing clerk or a customer service representative) are granted access to personally identifiable information. Our employees must use password-protected screen-savers when they leave their desk. When they return, they must re-enter their password to re-gain access to user information. Furthermore, ALL employees are kept up-to-date on our security and privacy practices. Every quarter, as well as any time new policies are added, our employees are notified and/or reminded about the importance we place on privacy, and what they can do to ensure our users' information is protected. Finally, the servers that store personally identifiable information are in a secure environment, in a locked and monitored facility.

Supplementation of Information

In order for this Web site to properly fulfill its obligation to users it is necessary for us to supplement the information we receive with information from 3rd party sources.

Credit Bureau Report

For example, if a credit bureau report is requested, we use the Agent or Applicants name, address, date of birth, and social security number to request a credit report. This report is then attached to the requested report (or returned individually if Credit Bureau only was requested).

Motor Vehicle Report (MVR)

For example, if a MVR is requested, we use the Agent or Applicants name, Date of Birth, and Driver's License number to request a MVR. This report is then attached to the requested report (or returned individually if MVR only was requested).

Notification of Changes

If we decide to change our privacy policy, we will post those changes to this privacy statement, the homepage, and other places we deem appropriate so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If, however, we are going to use users' personally identifiable information in a manner different from that stated at the time of collection we will notify users by posting a notice on our Web site for 30 days.
